Part-Time Congregational Administrator

The Unitarian Universalist Congregation of South County seeks an organized, personable, and highly dependable Part-Time Congregational Administrator to support the life and mission of our vibrant and welcoming congregation.

This position serves as the administrative center of congregational operations, supporting staff, volunteers, members, and community users to work effectively together. Position Summary

The Congregational Administrator is responsible for a wide range of administrative support functions, including office, communications, records management, and facilities coordination, with minimal supervision. The role supports the Minister, Board of Directors, staff, committee leaders, members, and building users while maintaining efficient office systems and a welcoming presence.

Key Responsibilities

Administrative Support

  • Work closely with the Minister, Board members, staff and committee chairs to provide organizational and administrative support.
  • Manage office procedures and recommend improvements for efficient operations.
  • Prepare a monthly report for the Board of Directors.
  • Answer and route phone calls, emails, and postal mail.
  • Maintain office equipment, supplies, and general office systems.

Facilities & Building Use

  • Coordinate building tenants and facility rentals. Schedule facility use by members, outside groups, and community organizations.
  • Manage facility access and resolve logistical issues.
  • Maintain the congregational online calendar.

Membership & Records Management

  • Maintain accurate membership and contact records.
  • Manage the congregational database (member directory and email lists).
  • Maintain official congregational records in accordance with document retention policies.
  • Assist in preserving historical and archival records.

Communications & Publications

  • Collaborate with staff, Board leaders, and volunteers to produce and distribute:
    • Weekly Order of Service for Sunday worship
    • Weekly email newsletter
    • Special announcements and emergency communications
    • Website updates and online content
    • Membership database management
    • Annual Meeting materials and mailings
    • Stewardship and fundraising communications
    • Printed and digital publications as needed

Worship & Special Events Support

  • Provide administrative support and materials preparation for special congregational events including memorial services, weddings, and other major events.

Financial & Vendor Coordination

  • Work collaboratively with the Financial Administrator and Treasurer to:
    • Maintain vendor relationships
    • Support contracts and service agreements
    • Collect required W-9 documentation
    • Track office and congregational supply needs
    • Coordinate purchases within approved budgets

Qualifications

Required

  • High school diploma or equivalent
  • Minimum three years of administrative, office management, or related experience
  • Strong computer proficiency and comfort learning new systems
  • Excellent written and verbal communication skills
  • Strong organizational skills with attention to detail
  • Ability to prioritize multiple tasks and meet deadlines
  • Ability to work independently with minimal supervision
  • Ability to maintain confidentiality
  • Successful background check

Preferred

  • Post secondary education
  • Experience in a nonprofit, religious, or mission-driven organization
  • Experience with databases (such as Breeze), email platforms (such as Constant Contact), and web publishing

Technology Skills

  • Proficiency with or ability and desire to learn:
    • Microsoft Office (Word, Excel)
    • Google Workspace
    • Email communication platforms
    • Mail merge and database tools
    • Website content management systems
    • Cloud-based file systems and shared drives

Compensation & Schedule

This position is on site.

  • Part-time: 20 hours per week (Sep-Jun); 10 hours per week (Jul & Aug)
  • Compensation: $25 per hour (negotiable depending on experience and qualifications)
  • Schedule to be arranged in collaboration with supervisor; some flexibility available

Reporting Relationship

Reports directly to the Minister/Supervisor and works closely with staff, Board leadership, committee chairs, Treasurer, and volunteers.
